Receipts
Where: Email
Who: Auction registrants and donors
Emailed receipts are configured in Qgiv and can be customized with your own content.
The available auction receipt types are Event Registration, Event Checkout, Event Donation, Standard Donation, Dedication Notification, and Refund.
These receipts will send automatically when an attendee or donor registers, donates, or checks out of an auction, if a donor dedicates their gift, or if you issue a refund.
Check out this article for details on configuring your auction receipts.
Post-Registration Emails
Where: Email
Who: Auction registrants and their guests
In addition to the customizable email receipts attendees and donors receive, Qgiv automatically sends new registrants a ticket confirmation email, which includes a link to enter the auction and—if applicable—a link to manage additional tickets.
If a purchaser of multiple tickets has invited guests, each guest will also receive an email with a link to set up their auction account.
These emails are automated and cannot be customized. They are sent automatically after registration.
You can resend the ticket email by accessing an attendee’s registration details from the Attendees tab in the Virtual Terminal and then clicking Email.
Custom Notifications
Where: Givi, Email, and/or Text message
Who: Bidders can set their notification settings during registration and edit the settings when viewing their Ticket Details. If they'd like to receive notifications via text, they need to provide a phone number.
Custom notifications are composed and scheduled in Qgiv and then sent to auction attendees via the delivery methods they have opted to receive. They can be scheduled ahead of time or created and sent ad hoc.
Notifications are great for sending reminders during your event, such as “bidding is ending soon” alerts.
Check out this article for details on configuring your notifications.
Outbid Notifications
Where: Givi, Email, and/or Text message
Who: Bidders can set their notification settings during registration and edit the settings when viewing their Ticket Details. If they'd like to receive outbid notifications via text, they need to provide a phone number.
Outbid notifications are sent automatically by the Qgiv system to alert bidders when they’ve been outbid. They are not customizable.
The notification includes the item's name and number as well as a link to the item so the bidder can increase their bid.
Please note: When bids are placed on behalf of an attendee via the Virtual Terminal, outbid notifications are not sent.
Additional Givi Notifications
Where: Givi
Who: Givi users who have allowed notifications in their device’s settings
There are a couple other notifications that will appear in Givi after a category has been moved to Check Out.
The “Checkout is now open” notification indicates to bidders with pending items in their carts that they can complete payment for those items.
The “Item Won” notification indicates to a bidder that they won a particular item.
The “Reserve Not Met” notification indicates to a bidder that they had the highest bid for an item but that the item’s reserved price wasn’t met.
The “You’re Winning" notification indicates to a bidder that they’re the new highest bidder for an item. This notification sends if the previous winning bidder is removed or their bid is cancelled.
Like the outbid notification, these notifications are autogenerated by the app and can’t be customized.
Download Givi Text
Where: SMS (Text message)
Who: Auction registrants to whom you’ve manually sent the text in the Auction VT
Finally, you can send an automated text to attendees who’ve provided a phone number, encouraging them to download the Givi app.
The button to send the Text is on the attendee details screen, which you can access from the Attendees tab in the Virtual Terminal.
