Please note: You must be a HEPdata customer using their eMatch Portal tool in order to set up the integration.
The HEPdata integration makes it easy for donors to determine if their donation to your nonprofit is eligible for being matched by their employer. This helps ensure nonprofits aren’t leaving matched gifts on the table when their supporters give. The status of matching gifts from the HEPdata matching gifts integration can be tracked in the Matching Gifts Report.
To set up the integration, first navigate to the auction event you want to add the integration to.
Next, click Auction Settings and scroll down and enable the Enable Matching Gifts toggle.
Click Activate to the right of HEPdata to enter your HEPdata credentials.
If you aren’t already signed up with HEPdata, click "Get started with HEPdata" to create your organization’s account. A form will open when you click the link. Complete and submit the form if you don't already have a HEPdata account.
Enter your HEPdata API Access Token. Then make sure API Connection shows as Connected. You can receive your API Access Token by contacting HEPdata.
Save your auction settings then select View Event to ensure the HEPdata matching gift search bar appears on your Donation page and on the Registration Details page when an Optional Donation is entered.
Please note: The Enable One-Time Event Donations toggle must be active in Auction Settings for the Optional Donation field to appear on the Registration Details page.
The image below is how the search bar will appear on your auction's Donation and Registration Details pages. The Matching Gifts Title and Matching Gifts Description can be customized in Event Builder on both of these pages.
Now, when your registrants make optional donations during auction sign up or donors make gifts to your auction, they’ll see the search bar with messaging encouraging them to search for their employer and determine if their donation is eligible for a matching gift.
Donors can search for all or part of their employer’s name then select it from the list. If the employer’s name doesn’t appear it means they don’t have a matching gift program monitored by HEPdata. Instead, donors should ask their employer directly if the company has a matching gift program.
They can then complete entering their payment details and finish making their donation.
If they elected to seek a matching gift, the donor will receive an email automatically from HEPdata (no-reply@matchinggifts.com) with links to their employer’s matching gift paperwork.
They then submit the paperwork listing your nonprofit as the beneficiary of the match. Note that different employers have different matching gift requirements and not all applications are completed in the same way.
You can check the status of matching gifts in the Matching Gifts Report.
If you need an in-depth look at the details of a matching gift or determine whether a transaction is associated with a matching gift, locate the matching gift's Transaction ID and click it to view the Transaction Details page.
At the top of the page you'll see two buttons. One directs you to the Transaction Details page of the original donation. The other voids the matching gift (used if the donor notifies you their donation was ineligible for an employer match). Beneath that are the matching gift transaction details.
You can also view a donation's associated matching gift. If you open the Transaction Details page for a donation associated with a matching gift, an option is added at the top of the Transaction Details page to View Matching Donation.
