If your volunteers are using the web Virtual Terminal for managing your auction on a computer, feel free to share this video with them:
Navigate to the Virtual Terminal.
Select your auction form from the Virtual Terminal drop-down menu. The auction title will be displayed to make it easy to identify which auction event you're working in.
Registration Tab
When registration is open, you can quickly register auction attendees from the Registration tab.
Package Selection
Select the package or packages the attendee wishes to purchase. You can determine which packages are privately available by the Private icon displayed to the right of the package name and cost.
Add an optional one-time donation if the attendee wishes. If you've enabled matching gifts for your auction event from the Auction Settings menu and connected a Double the Donation or HEPdata matching gifts integration, the option to search for the donor's employer appears when they enter an optional donation. This allows the donor to quickly determine if their optional donation to your event can be matched by their employer.
Contact Information
Then, enter the name and email address of the person purchasing the auction event package.
If you'd like to add an employer name, mailing address, or phone number, toggle on Specify Contact Information to display those additional fields.
Billing Information Same As Contact is toggled on by default. Toggle it off if you'd like to enter different billing information for the registrant.
If Company Registrations are enabled for the auction, you’ll also see an option to register the attendee as a company on this screen.
When registering an attendee as a company, if they purchase multiple tickets, you can decide whether to include all tickets under the same company name.
Ticket Details
Then complete the Ticket Details section for each auction participant. Be sure the phone number provided in the Ticket Details is a cell phone number. This is also where you can enter answers to any custom fields on the registration form.
If the registrant is purchasing multiple tickets but doesn't know who they'll invite yet, you can leave the Ticket Details blank or copy the details for the first ticket to each additional ticket and update this information when the purchaser knows who they're inviting.
Once the required fields are completed, click the Next button at the bottom of the registration form to move on to the Payment Information modal.
Payment Information
Clicking the Next button causes a modal to appear to enter payment information to process the registration. Registrants can pay by credit card, eCheck, cash, or check.
Attendees Tab and Beyond
Once an attendee has registered, they'll appear on the Attendees Tab. There, you'll see a list of all auction registrants, as well as a summary of how many attendees have been checked in and how many attendees have added a payment method.
