On the Reporting landing page, you’ll see your Qgiv reporting options listed in tile format. If you're using our political contribution platform, your reports will be in this area, as well.
The Recurring Payments and Recurring Forecast reports are at the top of the screen under Transaction Reports.
You won’t see the Recurring Payments tile if you don’t have any donors who have initiated a recurring payment. It will appear once you have at least one recurring payment in your system.
Let’s take a look at how you can use each of your Qgiv reports. For more detailed information on report basics, including search and advanced filtering options that all report types share, click here.
Qgiv Registrations Report
The Qgiv Registrations report contains registration information for your Qgiv events. After choosing your range, you can apply more advanced filters, if desired.
Your advanced filtering options are Forms, Form Tags, Source, Events, Promo Codes, Event Wide Fields, Participant Fields, and Event Attendance Status.
For Forms, you can choose one, multiple, or all forms.
For Form Tags, you can filter by forms that have one or more internal tags.
If you choose Source, you can select one, multiple, or all registration sources.
If you select Events, you’ll be provided with more options. You can choose one, multiple, or all Event Transaction Types. You may also choose one, multiple, or all events. You can get as granular as filtering for event donations and individual package purchases.
Choosing Promo Codes will display all promo codes. You may choose one, all, or multiple promo codes.
For the Event Wide Fields and Participant Fields filters, you can filter by one, some, or all of your registrants' custom field responses.
With the Event Attendance Status filter, you can display registrants who are marked as Attending or Not Attending.
The table below will populate with the relevant transactions based on your filtering options.
You can also filter by Status.
When you select a status or statuses other than all, your results will reflect only the statuses that have been selected.
Once you’ve clicked on a transaction ID you’ll see receipt and refund options (if applicable).
Clicking Edit in the Billed Transaction Details area will take you to an area where you can change transaction details, such as answers in custom fields. You can also use the toggle to indicate whether or not a registrant will be attending the event. If you mark a registrant as not attending, their ticket will be returned to your inventory, but it won't refund any money.
Once you’ve pulled the data you’re looking for in the Qgiv Registrations table, you can download a CSV or Excel file of the Registrations report.
The report contains detailed information about each registration. If a registrant chooses a package that includes multiple participants, each participant will be listed on a separate line along with their associated details, including custom event fields.
Qgiv Donations Report
The Qgiv Donations report contains information on all donation types for your Qgiv form(s), donor information, and custom field data.
Once you’ve set your desired range, you can choose from these advanced filtering options:
For Forms, you can choose one, multiple, or all forms. You can also choose one, all, or multiple Form Tags, Restrictions, Custom Fields, Dedication Fields, Dedications, Source, Donation Methods (Online/Offline), Donation Types (Donation, GiftAssist, or Event Donation), Frequency or Giving Plans.
With Custom Fields, you can drill all the way down to custom field answers.
The table below will populate with the relevant transactions based on your filtering options.
Once you’ve clicked on a transaction ID you’ll see receipt, refund options (if applicable), and/or void options (if applicable). Clicking Edit in the Billed Transaction Details area will take you to an area where you can change transaction details, including dedication information and answers in custom fields.
Once you’ve pulled the data you’re looking for in the table, you can download a CSV or Excel file of the report.
The report includes detailed information about the donations, including date, time, amount, status, restriction, donor information, custom field data, and more.
Recurring Payments Report
The Recurring Payments report contains information about your recurring payments and donors.
You can use the Filter By and Range drop-downs to search based on the dates of recurring payments.
Your options for filtering are All, Next Bill Date, Start Date, Payment Expiration, End Date, and No End Date.
Once you've selected the date you'd like to look at, use the Range drop-down to pick the time frame.
If the Filter By status is set to Payment Expiration, the report will search and return results for the payment expiration date of cards associated with payments. If it’s set to End Date, it searches and returns results for the final bill date of recurring payments.
Your advanced filtering options here are Forms, Form Tags, Recurring Status, Restrictions, Frequency, Giving Plans, Classifications, and Credited To.
- Forms: You can choose one, multiple, or all forms.
- Form Tags: You can filter by forms that have one or more internal tags.
- Recurring Status: You can filter by gifts that are Active, Paused, Cancelled, or Expired.
- Restrictions: You can choose one, multiple, or all restrictions.
- Frequency: You can sort by one, multiple, or all billing frequencies.
- Giving Plans: You can select one, multiple, or all Giving Plans.
- Classifications: You can select one, multiple, or all classifications.
- Credited To: You can select the Event, Team, or Participant the gift was credited to for peer-to-peer events.
The table below will populate with the relevant transactions based on your filtering options.
From this table, you can also disable the Recurring Donation Billed Receipt by clicking Enabled in the Receipt column.
If you want to re-enable a disabled Recurring Donation Billed Receipt, simply click the Disabled link.
If you click on a transaction ID in the table, you’ll be taken to a screen showing details of the recurring payment where you have the ability to edit certain information.
If you’d like to download data from the Recurring Payments area, you can hover over the Recurring Report and Contacts icons along the top of the search area for some report downloading options. When you hover over an icon, you’ll see the option to download a CSV or an Excel file.
Refer to the top cell of each column of the spreadsheet to determine what information is contained within the column. Some information will be blank, based upon actions taken at the time of the transaction.
The Recurring Payments report contains detailed information about each recurring payment and donor. It also includes the date the recurring payment was created, and if a payment was cancelled, the date on which the payment was ended and who cancelled it. It also contains Internal Form Name (if applicable) and a memo field. The Contacts report contains basic contact information, including name, email, address, opt-in information, company (if entered), and phone number.
Recurring Forecast Report
With the Recurring Forecast report, you can project how much money should be coming in based on all active recurring payments in the system.
In the report, you’ll see a table containing recurring payment information for the filtering options you configure in the area shown below:
You can choose which form or forms you’d like to view recurring payments for, and then choose a start date for your forecast.
In the Group By drop-down, you can choose to view individual recurring payments, payments by restriction, or an overall total of all recurring payments.
You can use the Interval drop-down to display a month-by-month breakdown of the recurring payment amounts you’ll receive, or you can view yearly forecast totals.
In the Display drop-down, you can choose to view all recurring payments, or you can select to view just pledges or recurring payments.
