The Virtual Donations Terminal is where you’ll enter cash, check, or credit card donations. The Virtual Terminal supports both online and offline gifts so that you can keep your campaign goal updated with all gifts coming in.
Contents:
- Donation Details
- Privacy Options
- Additional Settings
- Contact Information
- Transaction Notes
- Payment Information
To access the Virtual Terminal, click the Terminal icon in the left-hand navigation of your Qgiv control panel.
Here, you'll see the Select a Form, Auction, or Peer-to-Peer Campaign drop-down menu.
Select your peer-to-peer campaign in the drop-down and then choose Donations.
Donation Details
In the Donation Details section, you’ll use drop-down menus to select where the donation will be applied, the amount of the donation, and the permissions for how a donor’s information will be displayed.
In the Donate To drop-down menu, select if the donation is being made to a Campaign, Team, or Participant.
If you select Team or Participant in the menu, a search tool will appear, allowing you to enter a team or participant name.
Enter your search terms and then hit enter — your results will be displayed below the search field, where you can then make a selection. Whomever you choose here will be credited for the donation.
Next, you'll choose an Amount in the drop-down. Other is always an option if you have an amount not listed in your default amounts.
If you have Matching Gifts enabled, you'll see a checkbox if you'd like to enter one. When you click it, fields will appear in which you can enter the name of the matching company and the amount of the matching donation. Matching donations cannot exceed the amount of the original donation.
If you're using the Double the Donation or HEPdata matching gift service integration, the Matching Company and Matching Gift Amount manual entry fields will be replaced with an Employer search bar.
Search for the matching company in the search bar. If found, enter the employee's Work Email. This is a required field used to email the donor to complete their matching gift. The email will come from the matching gift integration service you're using on this donation form. This will create a matching gift record tied to the peer-to-peer donation once the donation is processed in the virtual terminal.
You can add a Donation Message that will appear in your campaign's activity feeds, as well.
Privacy Options
You’ll see Privacy Options next.
These settings determine whether to display the donor’s name and/or gift amount on your public-facing peer-to-peer site.
Keep in mind that the donor’s name and gift amount is always visible to your organization and to the payment processor. The donor’s information may be visible to the fundraising recipient, depending on how you’ve configured your campaign’s Fundraising Settings.
Additional Settings
The next section you may see is Additional Settings. This section will display a classification selection, restrictions, additional questions applicable to offline donors, and dedication options, depending on how you have your campaign configured.
Contact Information
Make those choices and then move down to the Contact Information area. Here, you’ll enter the donor’s personal information. If the donation is a company donation, click the Company Donation checkbox.
The name fields will update accordingly, allowing you to enter the company’s name.
Please note: If you have enabled the option to Collect a contact name with company contributions, you'll see the First Name and Last Name fields here as well.
You must enter an email address if you'd like the donor to receive an emailed receipt.
If the billing address is the same as the personal address, make sure the Billing Address Same As Personal checkbox is selected.
If the billing address is different, uncheck the box. An area will appear below the checkbox where you can fill in the donor’s billing address.
Transaction Notes
Next, you'll see an area to enter any notes you may have about the transaction. The notes are private and for internal use only; they'll never be shared publicly. Any notes entered can be viewed on the Transaction Details page in the Memo field.
These notes can be edited after a transaction has been entered by clicking on the transaction ID in your recent activity feed or from your reporting interface after you've located the transaction in question. Once you've clicked the transaction ID, you'll see a Memo option. Click Edit to change the existing notes, or Add if you didn't initially enter notes but would like to.
Payment Information
Once all of the applicable information about your donation is entered, you'll see a Payment Information section at the top right with your total cost populated right below.
You have four options: Credit Card, eCheck, Cash, or Check. Credit Card or eCheck are for online transactions, and Cash and Check are for offline transactions.
Online Transactions
For credit cards, enter the card number, expiration date, and cardholder name. If you have a card reader, you can choose to swipe the card, rather than entering the card number manually.
If you choose eCheck, enter the account and routing number for processing purposes.
Offline Transactions
If you choose Cash or Check, you'll note that all payment information is hidden and you'll have the ability to hit the Process Donation button to enter the gift. For checks, enter a check number. These are considered offline gifts but will still be reflected in your campaign thermometer.

All donations entered through the Virtual Terminal will be tagged with Virtual Terminal as their source and will be available to you in the Donors section of Constituents for reference or editing.
Need to know which user entered a Virtual Terminal transaction? Their user name will be listed under the Created By field in your transaction reports.
