Sometimes your FundHub Dashboard will report a different number than your various reports based on the form level settings in the forms that the FundHub is looking at. That’s why we put together this handy guide that explains why you’re seeing some discrepancies and what steps you can take to reconcile those discrepancies efficiently within the Qgiv system.
There are six types of discrepancies that may arise when viewing your FundHub Dashboard versus some of the reports in Qgiv.
Type 2. Qgiv Event Registration
Type 3. Text-to-Donate Pledges
Type 5. Store Purchase Shipping and Tax
Type 1. Refunds
You may find differences between the Transactions Report and your Fundraising Hub total when there are refunds. This is because the transaction report defaults to show transactions with the status of “accepted” and excludes refunds by default whereas the fundraising hub calculates refunds in the total displayed.
How to reconcile: You’ll want to include the status “Refunded” in the Transactions Report filters.
To do this navigate to the Reports section of Qgiv and select View Report under Transactions.
Under Status be sure to check Refunded to include all refunded transactions in your transaction report.
Type 2. Qgiv Event Registration
When hosting a fundraising event you may notice there are different totals between the Fundraising Hub Dashboard Total and the Fundraising Hub Donations Overview Pie Chart. This is because the donations overview pie chart looks exclusively at donations to your fundraising event and excludes non-donations like event registration.
How to reconcile: Navigate to the Qgiv Registrations report to calculate the sum of registrations and add that to the donations overview total to get the Fundraising Hub total raised.
To do this navigate to the Reports section of Qgiv and select View Report under Qgiv Registrations.
Add up the sum of the registrations. Then add this total to your Donations Overview Pie Chart total to get the number reflected in your Fundraising Hub.
Type 3. Text-to-Donate pledges
When you have pledges for text-to-donate you may find that your Fundraising Hub total doesn’t match the Fundraising Hub Donations Overview Pie Chart or Transactions Report. This is because the Donations Overview Pie Chart is exclusively for donations and doesn’t track event registrations or pledges. The transaction report shows donations and registrations, but also doesn’t factor in text-to-donate pledges.
How to reconcile: Use the Text-to-Donate Report to determine how many pledges there are and add the total amount of the pledges to your Transaction Report to find the total reflected in the Fundraising Hub.
To do this, navigate to the Reports section of Qgiv and select view report under Text-to-Donate Report.
Filter your report so that it only shows the forms that are included in the Fundraising Hub. Find the total value of Text-to-Donate pledges by looking at the bottom of the table under the Amount Pledged column. Add that amount to your Transaction Report total to find the number reflected in the Fundraising Hub.
Type 4. Store Purchase
Because of a setting on the peer-to-peer form, Fundraising Hubs may not show purchased store items. It might be set to show donations and event registrations only. This can lead to a discrepancy between the Fundraising Hub and your Transactions Report.
How to Reconcile: To factor in the value of store purchase items to reconcile the difference between the Fundraising Hub and the Transactions Report you would navigate to the Reports section of Qgiv and select View Report under Store.
Find the total of items sold for your selected date range at the bottom of the table. Add this number to your Fundraising Hub to match the Transaction Report.
Type 5. Store Purchase Shipping and Tax
If you set your Fundraising Hub to reflect store purchases in addition to event registrations and donations, you may still find a difference between it and the Transactions Report. This difference is associated with the shipping and tax on store purchase items.
How to Reconcile: Use the Store Purchases report to calculate the sum of shipping and tax and subtract that from the transactions report total to get the Fundraising Hub total raised.
Navigate to Reports and select View Report under Store.
Download the Store Report to view the Shipping and Tax columns.
Subtract the total of the Shipping and Tax columns from the Transaction Report total to get the Fundraising Hub amount raised.
Type 6. Unverified Gifts
Another possible difference you may find is between the Fundraising Hub and the Donation Overview Pie Chart on the FundHub dashboard. This is because the Fundraising Hub may be set to exclude unverified gifts whereas the Donation Overview includes all gifts, even unverified, when calculating a total.
How to Reconcile: Subtract the unverified gift total from the Donation Overview to match the Fundraising Hub.
To do this, navigate to your Donation Overview and look at the chart to find all unverified gifts. Add up the total value of the unverified gifts and subtract it from the Donation Overview total. This should match what is reflected in your Fundraising Hub.
You may find that correcting for one of these factors still doesn't completely solve the discrepancy you're seeing. You may need to try more than one of these factors in order to completely resolve any discrepancies you're noticing with your Fundraising Hub.
